Email Report Taking too long
« on: October 16, 2012, 07:13:32 AM »
Hi Ron,

When we use the Tools, Email Report function, it takes excessively long to compile and send the report, about 10 minutes.  We use this daily as part of our Z-out procedure, and the report contains only today's sales data.  We do 120 - 200 transactions a day.

Is there something we can do to speed up the report?  Compiling an end of day report for this many transactions should be so laborious.

I've taken a look at the sales control and find that we now have 51,000 + transactions in our database.

Does the database need to be optimized, and if so, how?

Thanks

Yes, it probably does.  In the Managers window under the Tools menu is View Optimize Points.

Ron, thanks for the update.  I backed up and installed without a hitch.

I ran clean, but nothing seemed to happen and I have a lot of Open Sales and Unused Payments which I do not understand how they happen and what the impact on the database is.

I've got a number of questions about the Optimize number page.  I took screen shots which I would like to include but when I attempt to attache to the post I get this error:

"The attachments upload directory is not writable. Your attachment or avatar cannot be saved."

Can you fix that so that I can post my questions with illustrations by way of example?

Thanks

The open sales and unused payments will slow it down.  The older the open sale/payment the more it will slow it down.  Remove them when possible.  If you want send photos use the email support.

What does "Clean" do?

What does "Reset Z-out" do?

How do "Open Sales" occur, likewise "Unused Payments"

How do I remove them?  I can find the open sales in the Sales Control tool. Perhaps from there I can close them.  But I don't know where to find the "Unused Payments"

There is no explanation of the Clean Points screen at all in documentation.

Clean will close sales that are completely empty.
The Reset z-out sets the z-out date to today.

I would use the Sales / Clear This Sale from the sales screen.  Now, the next time the Clean is used it will close those unused empty sales.

Payments can be deleted directly from the sales screen.  Click on the payment and select Delete.  They can also be deleted from the Customer Control, Payments / List All Payments.

Any sale the is not "Finished" is left open.  Payments can be added without being used in the Advanced Payment window.  Or, a sale that has a payment can be Edited which may separate the payment from the sales.
